How do I renew an existing subscription?

Always go to the page of the person who is paying for the subscription!

Locate the customer’s Data Entry screen, and on that page locate the subscription. You will see an area marked “Insert Renewal Here” to the right of the subscription line.

You need to enter the following: the PROMO (which promotion brought in the subscription); the number of issues being purchased with the renewal; the price paid for the renewal – and under that How it was Paid (check, money order, credit card, cash).

When that is completed click the button Renew. Subscribers Fool adds the new subscription to any existing subscription taking into account the number of issues left on the old subscription. It is all automatic.

Renewing a Gift Subscription

When a Gift subscription needs to be renewed, remember Always go to the page of the person who is paying for the subscription!

If you are on the Customer Data Entry screen of the recipient you need to go to the Contact Data Entry page for the Donor of the Gift. Look in the “Mail To” portal – and you will see that the Type is set as “Gift” and to the right is a button that says “Go to Donor if Gift”. Click on it and it takes you to the Donor’s record.

We want to go to the Donor because he is the one who is paying. When we get there we see that recipient’s subscription in the “Paid For” portal. (If there are a number of subscriptions you may have to scroll down in the portal to see it.) And in the Insert Renewals Here area we can enter the renewal data and just click Renew. The rest is automatic.

What if the Subscription has Expired?

Same as any other renewal. However, if your recipient has missed any issues, the program will NOT pick up the back issues. It will only add issues going forward from the current date.. If the client wants back issues, that will have to be a special manual transaction – and will depend on whether back issues are even available.
