Setting up Publications
Subscribers Fool can handle multiple publications. At the beginning you will need to set up each publication separately. That means making some basic decisions as to how the publication will be configured.
The Publication Tight List
Tight List refers to a short list of the publications in your Subscribers Fool database. It doesn’t matter whether you have one publication or a dozen, each one has to be configured separately.
This window allows you to set the number of days (the interval) to the second mailing. It also shows the number of current reminders that are due and provides buttons for sending POST CARDS OR to EXPORT the reminder addresses to a comma separated text file. It is set up to show both first and second reminders.
Second Mailing.
What is the second mailing? After the main mailing of the magazine, there are normally late subscriptions still arriving. Rather than send those out as they come in, for purposes of coordinating mailings and saving postage we send the second mailing out as a group. For a quarterly magazine it is usual to wait 45 days to send the second mailing of the current issue. After the second mailing goes out any new subscriptions get the NEXT copy of the magazines. The interval is set by YOU, the user. And it can be any number of days you desire. Once set the program monitors the number of days and lets you know when it is time to send the Second Mailing out.
The second mailing interval can also be set on the Publication Data Entry layout.
Publication Data Entry
You can access this area from the Publication Tight List by clicking the button labeled DATA ENTRY. This is the place that some major and important settings about your publication are entered.
At the top of the window you have the Publication Name.
In the next area you select the months that the publication is to be issued. In the example above the magazine is a quarterly that is issued in February, May, August and November.. When you check the boxes opposite each month, the number at the end of the area shows the total number of issues sent out each year.
Some magazines have a special once a year catalog publication in addition to the regular issues. If you need to add a single special publication, simply click on the month it is to come out and it will be added to the number of issues per year.
Reminder Settings
Reminder Settings are updated in a special window that appears when you click the Reminder Settings button in the upper right hand corner of the layout. By default the program sets the first reminder at 70 days prior to the expiration data of a subscription; and the second reminder at 40 days prior to expiration. However if you feel it should be different, you can easily change the number of days by entering your choice of the number of days.
